My client, a well-established beauty brand based in central London are seeking a polished, professional and engaging HR Assistant to join their HR team.

This role will be responsible for the whole employee life cycle, absence management, HR and payroll administration to meet the demands of the company and HR department, all in line with legal obligations and department policies and procedures.

Key Responsibilities:

Employee Leaving Process

  • Review resignation letters, produce Confirmation of Resignation Letters, informing the Head of HR of any concerns.

  • Provide Payroll with full details of leavers' information advising of adjustments/deductions to make and update the HRIS.

  • Email IT an IT Leavers Form to confirm an employee is leaving and advise them of what equipment is being returned.

HR Administration

  • Issue appropriate Contract Amendment Letters or, where applicable, an updated Contract of Employment upon receipt of an authorised and HR verified Job Adjustment Form.

  • Ensure all HR documentation requiring signatures are chased and obtained in a timely manner.

  • Ensuring Company benefits are processed and passed to Payroll (Childcare Vouchers, Season Ticket Loans, etc) and relevant paperwork is issued.

  • Order employee gifts on behalf of the company.

  • Update departmental organisational charts as and when changes occur.

  • Respond to only written (not telephone) reference requests from external bodies, providing a standard response.

Onboarding Process

  • Offers of Employment are produced in a timely manner and distributed as per checklist;

  • Proof of identity and eligibility to work in the UK are provided by ALL new employees (wherever possible, originals to be reviewed and copies to be verified as genuine by HR or line manager);

  • Key personnel are informed of accepted employment offers or declines and proposed start date;

  • IT New User Forms are completed for employees that require access to a computer system;

  • Equipment Request Form are completed in order for necessary equipment to be available for the employee's first day of employment;

Absence Management

  • Management of annual Holiday Forms, ensuring that everyone is issued a form and all authorised holidays are filed for reference.

  • Log and monitor employee sickness, ensure completion and return of all forms, ensuring Self-Certification Sickness Forms and medical certificates are submitted.

Payroll

  • Processing of the monthly UK and International payrolls for all companies from start to finish in a timely, efficient and accurate manner, adhering to set deadlines.
