The Recruitment Team sits within the HR department. The Recruitment team has two halves, the Graduate Recruitment Team and the Lateral Recruitment Team. The Lateral recruitment team are responsible for all Lawyer and Business Services recruits and joiners into the London office (with the exception of graduate trainees), including all permanent and non-permanent hires. The team is also responsible for the hiring of contractors, temps and work experience.
The Recruitment Coordinator will provide a comprehensive, efficient and reliable administration support to the Lateral Recruitment team by ensuring that the end to end recruitment process runs seamlessly from sourcing and selection, interviews and testing, through to offer. The role-holder will also be proactive in ensuring that recruitment processes and systems are kept up to date in order for the team to run as smoothly as possible.
Key tasks and responsibilities of role include:
- Coordination of interviews in a prompt and proactive manner with the aim of ensuring a positive candidate and interviewer experience.
- Use initiative and work around time-poor diaries.
- Ensure candidate information is up to date in interview invites.
- Provide the recruitment specialists with regular interview status update and flag any scheduling challenges.
- Booking interview rooms and video-conferencing facilities daily.
Responsibility for the centralised Recruitment London inbox and phone line:
- Responding to queries from hiring managers, candidates and recruitment agencies on a daily basis.
- Using initiative to react to and resolve urgent queries.
- Escalating any queries that need input from the team.
Creating and posting requisitions on the Applicant Tracking System (ATS) and maintaining accurate candidate records.
Advertising vacancies online on the Clifford Chance careers site, LinkedIn and various job boards.
Active monitoring of the job postings on LinkedIn and ensuring job slots are being allocated evenly across all offices.
Administering and scoring candidate tests where appropriate.
Compiling new joiner offer packs and ensuring they are produced and couriered in a timely manner.
Responsibility for maintaining and circulating recruitment trackers and the internal vacancy report.
Ownership of the recruitment invoice process including invoice processing, updating the invoice log, responding to payment queries and chasing outstanding payments.
Keep track of stationary and printed materials used by the team and re-order when necessary.
Ad-hoc project support when required by the Global Head of Recruitment, Recruitment Team Leads and Recruitment Specialists.
Point of contact for work experience queries and expenses.
Continually monitor the efficiency and effectiveness of the team's processes and suggest/implement improvements.
Strong administrative and organisational skills, an ability to multi-task and manage a varied workload and to prioritise urgent requests.
A friendly and outgoing manner and the ability to communicate confidently by telephone and face to face, representing the firm.
Ability to work on own initiative and to demonstrate credibility with people at all levels.
Strong attention to detail.
A strong and dedicated team player with the ability to keep colleagues updated and manage expectations.
Proven ability to work with urgency in a fast-paced role and operate under pressure.
Quick learner with proven ability to pick up new systems and processes.
Knowledge and Experience
Experience of supporting a busy team in a pressurised environment.
Experience in using own judgement to provide solutions to problems.
Experience of Microsoft Office is essential.
A basic understanding of recruitment processes would be an advantage but not essential.
