Job Description


The purpose of the role

  • Be a pivotal part of the Learning Deployment Operations Team Leadership embedding the agreed strategy across the team.
  • Build on existing networks and maintain/make strong credible relationships with Operations Excellence Hub (OEH) / UK Learning (UKL) / KPMG Business Services (KBS) / People and wider business at management level.
  • Assist with the leadership of the Learning Deployment Operations team. Working closely with the team leaders to find innovative solutions to any problems faced.
  • Manage the process improvement programme.
  • Be able to work on own initiative, being proactive and taking responsibility for identifying issues, proposing solutions and initiating improvements. The Manager will need to manage multiple tasks/priorities, manage tight and challenging timescales and will need excellent communication and influencing skills.

Role overview

  • Work with the Team Leaders to manage two specific teams, becoming a trusted adviser to ensure the provision of professional, efficient and cost effective deployment and administration support to Business Learning Partners (BLP’s), Programme Managers, the business and individual Learners.
  • Help build the strategy of the team and ensure that this strategy is embedded in the goal setting and appraisal process across the two teams.
  • Ensure process improvement is undertaken and ensure all processes utilise the best technology where possible, advise on changes to the processes and work with the OEH process lead to embed excellence in this area.
  • Ensure all team members have a fair and varied allocation of work, liaising where necessary with other Manager or Team Leaders to determine a consistent, efficient approach to all deployment and administrative processes.
  • Conduct regular 1:1s with Team Leaders and conduct goal setting and honest conversations with them.
  • Ensure deployment and operations team members are meeting performance expectations and work closely with Team Leaders, coaching as necessary, to address any concerns on individual performance.
  • Oversee any regulatory reporting requirement or internal reviews, mainly but not exclusively in relation to Audit.
  • Ensure the Operational Lead Agreement and Service Level Agreements are agreed and set. Provide reports to the OEH and Head of Performance Operations (HOPO) as required.
  • Oversee the course planning process ensuring it is efficient and utilises technology.
  • Build relationships with relevant BLP’s Programme leads and business contacts; understand their part of the business and the challenges and complexities they face explaining how Deployment Operations support them to deliver their learning.
  • Be an escalation point for any issues that arise from the deployment of learning, agreeing actions with the relevant Team Leaders. Coach where necessary to enable team members to resolve conflict individually or with their team.
  • Organise and design content for leadership meetings as well as team meetings to cascade relevant information as well as build on the strategic vision of the team.
  • Have an understanding of the other Managers areas so that cover is in place over holidays and other periods of absence.
  • Oversee the recruitment of staff which involves liaison with the recruitment teams. When new joiners start ensure training plans are in place.
  • Maintain a knowledge and understanding of all software applications used within the department including the Global Learning Management System (LMS), Virtual Classroom, Skype, Adobe platform, and the evaluation platform, Questionmark.
  • Thorough knowledge and understanding of department finance and accrual processes, training policies and general administrative and deployment processes.
  • To be responsible for some of the key projects in the team eg LMS, Virtual Classroom, Course Planning, Evaluation Process etc.

Experience and skills required

  • Previous management experience with proven ability to lead a team through change.
  • Proven attention to detail with the ability to work under pressure.
  • Flexible approach with the ability to multi-task, manage time effectively and handle tight deadlines.
  • Superior stakeholder management skills; highly persuasive with proven ability to influence stakeholders and the ability to balance the needs of varying stakeholders within a partnership environment.
  • Project and Programme Management experience.
  • Demonstrates broad business thinking and sound commercial judgement to add value for internal clients.
  • Proven experience delivering a first class quality service.
  • Highly developed verbal and written communication skills which demonstrate personal presence and earn trust and respect.
  • Upholds professional standards and displays integrity in behaviour and in dealings with others.
  • Solution focussed approach.
  • Confidence to make decisions and take accountability for actions.
  • Handles complex and difficult situations with thought and confidence.
